Shared inbox

One address that the whole team can answer

A shared mailbox such as support@ collects mail from anyone. The people you choose open it, read it and reply as the team, and nobody has to share a password.

Mayfair Shared mailboxes: the Support mailbox with three messages in the inbox

What Mayfair Shared mailboxes does

  • A real address of its own

The shared address takes mail from anyone, including people outside Mayfair. It has its own inbox, and nobody signs in to it directly.

  • Delegates, chosen by an administrator

An administrator creates the mailbox and picks who can open it. People who are not delegates cannot see that it exists.

  • Read and reply as the team

Delegates read mail, reply with the Re: subject filled in, start a new message and delete or put back a message.

  • Send as, person by person

Each delegate either can send as the mailbox or can only read it. Replies go out from the shared address, and the person who sent is recorded.

  • Inbox, Sent, Junk and Trash

Switch folders with one tap and see unread counts. If you are a delegate of several mailboxes, pick one from the list.

  • Attachments

Files on incoming mail open from the message.

  • You are told when you are added

A delegate gets a message in their own inbox with a link to the mailbox.

  • Group addresses too

Administrators can also make group addresses: mail to one address reaches every member, groups can hold other groups and outside addresses, and the group says who may write to it.

Good to know

Plain facts about the limits, so nothing comes as a surprise.

  • Shared mailboxes are set up by an administrator. You cannot create one yourself.
  • Replies from a shared mailbox are plain text.
  • Labels, search and drafts are not part of shared mailboxes yet.

Mayfair Shared mailboxes questions

Who can open a shared mailbox?

Only the delegates an administrator has added. Anyone else gets nothing back, as if it did not exist.

Can everyone send as the mailbox?

No. Each delegate is set to send as it or only to read it.

Will people know who replied?

The reply goes out from the shared address, and Mayfair records which delegate sent it.

Can people outside Mayfair write to it?

Yes. A shared mailbox accepts mail from anyone.
